Job Summary:
HR Admin is responsible for supporting the day-to-day operations of the Human Resources department, particularly in administrative tasks related to employee data management, system access, contract handling, payroll coordination, and offboarding processes. This role plays a key part in ensuring HR processes run efficiently and in compliance with company policies and procedures.
Key Responsibilities:
1) Oracle Access Handling:
- Manage and process Oracle system access requests, including RFP (Request for Payment), invoicing, and employee claim reimbursements.
- Ensure timely and accurate documentation and follow-up for all system-related transactions.
2) Personnel File Management (Manual P-Files):
- Maintain and update manual personnel files in accordance with company documentation standards.
- Ensure confidentiality, accuracy, and completeness of employee records.
3) PKWT & Agreement Recycle:
- Monitor, organize, and process PKWT (Perjanjian Kerja Waktu Tertentu) and other employee agreements.
- Ensure timely renewal or termination of contracts in compliance with regulations and internal guidelines.
4) Payroll General Process Support:
- Assist in collecting and validating payroll data (e.g., attendance, overtime, deductions).
- Coordinate with Finance or Payroll team to ensure timely salary processing.
5) HR Letter Issuance:
- Prepare and issue HR-related letters such as recommendation letters, employment verification, or other requests from employees.
6) Operational HR Support:
- Provide administrative support for HR team operations, including meeting coordination, documentation, and logistical support for internal HR activities.
7) Offboarding Process:
- Assist in managing the employee offboarding process, including exit documentation, clearance coordination, and final settlement documentation.
- Ensure proper communication and data updates related to exiting employees.
Kualifikasi
- Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field.
- 1–2 years of experience in HR administration or a similar role (fresh graduates with internships are welcome).
- Familiarity with Oracle system or other HRIS is a plus.
- Strong organizational skills and attention to detail.
- Good communication skills and ability to handle confidential information.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
