As a General Affair Admin, you will be responsible for overseeing and managing the general affairs and administrative functions within the organization. This role involves coordinating various tasks to ensure smooth and efficient workplace operations, and supporting internal staff and external stakeholders.
Your responsibilities in this position are;
End-to-end Procurement Process
- Receive procurement requests according to company needs within the scope of offices and warehouses.
- Conduct analysis and evaluation of previous procurements.
- Submit Purchase Orders via NetSuite.
- Follow up the procurement process (internal and vendor) and ensure all requests are done and well received.
Make payments and routine purchases
- Send payment requests to the relevant team as per the request form
Assets Maintaining
- Record asset code based on the classification of items
- Conduct scrap assets for damaged or lost items
- Record the transfer of assets when necessary
- Conduct stock opname / asset audit
- Perform periodic maintenance of assets.
Periodic Reports
- Doing daily work records
- Generate thorough documentation to support Purchase Requests (PR) and Purchase Orders (PO) processes.
Vendor Relations
- Identify the best vendors and perform comparisons for them
- Ensure compliance and security with a comprehensive Know Your Customer (KYC) process for vendors
- Make price quotation comparisons
- Negotiating price quotations
SOP Creation
- Review existing SOPs and make updates according to applicable best practices
Kualifikasi
- Minimum Diploma Degree (D3) in Accounting, Management, or relevant discipline.
- Minimum 1 years experience in the administrative field (interns are welcome to apply!)
- Problem-solving
- Extensive experience in procurement for a variety of stakeholders.
- The ability to compile and record all purchases and maintenance transparently.
- Ability to communicate effectively and with great interpersonal skills.
- Good sense of time management.
- Skillful and effective negotiating skills.
- Analytical thinking
- Demonstrate proficiency with Microsoft Office and Google Suites
