Job Overview: We are seeking a highly organized, resourceful, and proactive individual to serve as Secretary/Chief of Staff to the CEO. This role demands excellent communication skills, a problem-solving mindset, and the ability to manage multiple priorities efficiently. The ideal candidate will possess a "can-do" attitude, demonstrate intelligence and discretion, and bring both professionalism and adaptability to our fast-paced environment.
Key Responsibilities:
- Administrative Support: Provide high-level administrative support to the CEO, including scheduling meetings, managing calendars, and preparing correspondence.
- Coordination and Communication: Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and timely follow-up.
- Documentation and Reporting: Prepare and manage documentation, reports, presentations, and meeting minutes with attention to detail.
- Problem Solving: Address issues proactively, identify opportunities for improvement, and handle unexpected challenges with resourcefulness and efficiency.
- Task Management: Monitor and prioritize tasks to ensure deadlines are met, and assist in managing ongoing projects.
- Multilingual Support: Communicate fluently in English, with proficiency in Mandarin considered a strong advantage.
- Confidentiality: Maintain a high level of confidentiality and handle sensitive information with discretion.
Kualifikasi
Requirements:
- Education and Experience: Bachelor’s degree or equivalent work experience in a relevant field.
- Language Proficiency: Strong written and spoken English is essential. Mandarin language skills are highly desirable.
- Organizational Skills: Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Communication Skills: Outstanding verbal and written communication abilities.
- Technical Proficiency: Familiarity with office software such as Microsoft Office Suite, Google Workspace, and other productivity tools.
- Problem Solving: Demonstrated ability to think critically and solve problems effectively.
- Professionalism: Polished demeanor, positive attitude, and professional work ethic.
- Flexibility: Willingness to adapt to changing priorities and work demands.
