Job Description
- The purchasing Executive plays a fundamental role in the procurement process
- by assisting in the acquisition of goods and services required for the
- organization's operations. This role involves coordinating with suppliers,
- preparing purchase orders, and ensuring that all purchases align with the
- organization's budget and quality standards. Purchasing Staff are vital in
- supporting the efficiency and cost effectiveness of procurement activities
Requirements
- Communicate and negotiate with suppliers to obtain price quotes, product information, and delivery details.
- Evaluate and select suppliers based on factors such as quality, price, and reliability.
- Maintain positive vendor relationships.
- Responsible for the procurement of items needed in the venue operations as well as the services
- Prepare and process purchase orders accurately and in a timely manner
- Follow up on orders up to the final delivery of the merchandise to the venue
- Ensure that purchased products and services meet the required quality standards.
- Address quality issues or discrepancies with suppliers and work on resolutions.
- Monitor inventory levels to prevent overstock or stockouts of essential items.
- Coordinate with the Inventory team to maintain optimal stock levels.
- Report and manage any inventory discrepancies.
- Maintain accurate records of all purchasing transactions, including invoices, delivery receipts, and purchase orders to be sent to Finance & Accounting
- Organize and file procurement-related documentation for reference and auditing.
- Research potential suppliers and new products to stay updated on market trends and opportunities.
- Identify alternative suppliers and sources to secure the best deals.
- Ensure compliance with procurement policies, legalrequirements, and ethical standards.
- Implement and adhere to organizational procurementpolicies and procedures.
