Job Description
Time Management :
- Oversee and manage day-to-day administrative tasks within the Public Affairs Department.
- Develop and implement efficient office procedures and policies to optimize workflow.
- Supervise administrative staff and provide guidance on tasks related to documentation, record-keeping, and general office management.
- Manage departmental budgets, ensuring cost-effectiveness and adherence to financial guidelines.
- Coordinate with other sections to ensure the availability of necessary resources and support services.
Coordination :
- Facilitate communication and collaboration among different teams and departments within the organization.
- Serve as a liaison between the Public Affairs Department and external stakeholders, fostering positive relationships.
- Coordinate the scheduling and organization of meetings, ensuring effective participation and communication.
- Streamline internal processes to enhance overall efficiency and effectiveness.
- Collaborate with project managers and team leaders to ensure timely completion of departmental initiatives.
Company Branding :
- Uphold and promote the company's brand identity and values through consistent messaging and communication.
- Ensure that all public-facing communications and materials reflect the desired brand image.
- Monitor and analyze public perception and feedback related to the Public Affairs Department and suggest improvements.
- Contribute to the development of branding strategies that enhance the organization's reputation and presence in the public domain.
- Additional responsibilities may be assigned by the supervisor/manager.
Requirements
- Bachelor's degree, preferably in Public Relations or Communications or related field
- 5+ years of progressive administrative experience, including 2+ years in leadership.
- Proven coordination and management of administrative functions in dynamic organizations.
- Expertise in effective communication, collaboration, and strategic planning.
- Strong project management, budget oversight, and leadership of administrative staff.
- Minimum 2 years of managerial or supervisory experience, preferably in administration or coordination.
- Proven ability to lead and cultivate a positive, collaborative team environment.
- Strategic decision-making aligned with organizational goals.
- Successful track record in overseeing projects from initiation to completion with adherence to timelines.
- Expertise in budget management, resource allocation, conflict resolution, and effective communication at all organizational levels.
