The Payroll Staff is responsible for executing payroll processes and maintaining accurate employee compensation data within the HRIS, specifically for employees and interns in distribution branches. This role ensures compliance with payroll regulations and provides support for payroll-related inquiries, contributing to the overall efficiency of the Reward Management department.
Job Description
Payroll Administration
- Administer payroll for employees by processing accurate and timely payroll data, ensuring compliance with organizational policies and legal requirements, thereby enhancing employee satisfaction and trust.
- Collect monthly payroll input by coordinating with various departments to gather necessary data, ensuring completeness and accuracy, which directly impacts payroll processing efficiency.
- Process monthly payroll by executing calculations and adjustments, ensuring timely disbursement of salaries.
- Maintain and update employee compensation data by regularly reviewing and verifying information, ensuring data integrity, which supports informed decision-making in compensation management.
- Administer applicable deductions (e.g., unpaid leave, etc.) by accurately calculating and applying deductions, ensuring compliance with legal and organizational standards.
- Handle incorrect or omitted salary payments by investigating discrepancies and implementing corrective actions to minimize employee dissatisfaction and maintain trust in payroll processes.
HR Operations
- Support day-to-day HR operations, including employee data management and HR administration, to ensure smooth and efficient processes.
- Maintain and update employee records (e.g., personal data, employment status, contracts), ensuring accuracy and data integrity.
- Manage onboarding and offboarding administration, including documentation, system updates, and final settlements, to ensure a seamless employee lifecycle experience.
- Monitor and administer attendance, leave records, and employee movements (e.g., promotion, transfer, mutation), ensuring proper documentation and system updates.
- Coordinate with internal stakeholders regarding employee-related administrative matters, ensuring alignment and timely resolution.
Managing Employee Queries
- Handle employee inquiries related to payroll and HR administration by providing timely, accurate, and clear information to support employee engagement.
- Conduct onboarding briefings or sessions for new hires on payroll and HR administrative processes, ensuring smooth integration.
Compliance and Reporting
- Monitor changes in tax status of employees by staying updated on tax regulations, ensuring compliance and minimizing potential liabilities for the organization.
- Issue tax reporting forms by preparing and distributing necessary documentation, ensuring compliance with tax regulations and enhancing organizational credibility.
Requirements
- Minimum Bachelor's degree in Human Resources Management, Business Management, or related field
- Minimum 1 year of experience in compensation and benefits management, payroll systems, date management, and employee relations
- Knowledge of Indonesian tax regulation (PPh 21) and BPJS administration
- HR data reporting and Excel proficiency
- Good written and verbal communication skills in Bahasa Indonesia & English
