Role Overview

As a Japanese-Speaking Virtual Assistant, you will be a cornerstone of our operations, providing vital support across various functions while ensuring seamless communication with Japanese-speaking clients or stakeholders. We welcome candidates with experience in administrative support, social media management, content creation, procurement, or finance.

Additionally, as the Virtual Assistant role is highly diverse, we are open to candidates from all major backgrounds and skill sets, as long as they have strong organizational skills, a proactive mindset, and the ability to communicate effectively in both Japanese and English.

Key Responsibilities

Depending on your skills and expertise, you may be involved in:

Administrative Tasks

  • Managing calendars, appointments, and schedules.
  • Organizing files, preparing documents, and handling data entry.
  • Supporting day-to-day operations and communications.
  • Assisting in procurement activities, including vendor communication, purchase orders, and inventory tracking.
  • Processing, reconciling, and maintaining financial records, including invoices, expense reports, and bookkeeping to ensure accuracy in financial transactions.
  • Ad-hoc administrative tasks.

Social Media Management

  • Crafting and scheduling engaging posts for various platforms.
  • Monitoring analytics and audience engagement.
  • Assisting in social media campaign planning and execution.

Content Creation and Writing

  • Writing, editing, and proofreading articles, blog posts, or captions.
  • Researching and generating ideas for new content.
  • Collaborating with teams to create cohesive messaging.

Japanese Language & Business Support

  • Communicating with Japanese-speaking clients or stakeholders in a professional manner.
  • Translating documents, emails, or messages as needed.
  • Assisting in research and market insights related to Japan.
  • Supporting projects that require knowledge of Japanese business etiquette and culture

Requirements

  • Fluent in Japanese (minimum JLPT N3, N2/N1 preferred) and English.
  • Experience in at least one of the following areas: administrative support, social media management, content writing, procurement, or finance.
  • Strong communication and interpersonal skills, with an understanding of Japanese business culture.
  • Ability to prioritize, manage time effectively, and work independently.
  • Familiarity with tools like Microsoft Office, Google Workspace, Canva, Figma, or social media platforms.
  • Knowledge of social media scheduling tools (e.g., Hootsuite, Buffer), content management systems, or procurement/finance tools is a plus.
  • Attention to detail and a proactive mindset.
