Job Description
- Manage business visas (single/multiple entry), KITAS (new/extension), IPO reporting, KITAS address updates and any other working permit related documents..
- Arrange expatriate transportation and accommodation (hotel & apartment), including utilities, amenities, expense monitoring, cleaning, maintenance, and facility repair.
- Coordinate onboarding related matters including ID card photo sessions, building access cards, and parking memberships: provision, invoicing, distribution, database management, and returns/deactivation.
- Manage office vehicle operations including schedule vehicle services, renew licenses, insurance, and handle claims.
- Manage operational vehicle schedule and cost top-ups reporting to Finance.
- Arrange Business Trip consist of organize transportation, accommodation, meeting venues, and international SIM cards for employees.
- Handle contract reviews, payment requests, and petty cash related.
- Manage all events and logistics, including flower boards, cakes, and other arrangements.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- Have 2-3 years experience in General Affairs, Expatriate Management, Administrative Operations, or related fields.
- Fluent in English is mandatory; Mandarin proficiency is an advantage.
- Familiar with visa processing, KITAS/IPO procedures, and Indonesian expatriate regulations.
- Experience in invoice processing, expense monitoring, contract management, and asset tracking.
- Ability to coordinate business trips, transportation, accommodation, and utilities for expatriates.
- Strong coordination and communication skills for liaising with expatriates, vendors, and internal teams; capable of resolving issues efficiently.
- Ability to manage multiple tasks simultaneously, ensure compliance, and maintain accurate records.
- Proficient in Microsoft Office and familiar with administrative tools for documentation, reporting, and record-keeping.
